Privacy Policy

This Privacy Policy describes how Trillion AI, LLC ("Trillion AI," "we," "our," or "us") collects, uses, discloses, and protects personal information when you visit this website or use our products, OMI and Sales Coach (collectively, the "Services"). This policy applies to personal information about: (a) visitors to trillionai.agency; (b) representatives of our business customers; and (c) end-customers and other individuals whose information is processed through the Services on behalf of our customers.

For end-customers and other individuals whose information is uploaded to the Services by our business customers, our business customer is the controller (or "business" under California law) of that information, and Trillion AI acts as service provider or processor. Direct your privacy requests to that business in the first instance; we will support our customers in honoring valid requests.

1. Categories of personal information we collect

We collect the following statutory categories of personal information (mapped to Cal. Civ. Code §1798.140(v)):

2. Sensitive personal information

Some of the information we process through the Services constitutes "sensitive personal information" under California Civil Code § 1798.140(ae) and analogous state statutes. Specifically: audio recordings of conversations (Sales Coach) and contents of transcripts derived from those recordings.

Purposes of use. We use sensitive personal information solely to: (a) provide the Services as instructed by our business customer (recording, transcription, AI Scoring, dashboard, Auto Email Reports); (b) maintain security and prevent fraud; and (c) comply with legal obligations. We do not use sensitive personal information to infer characteristics about an individual, and we do not sell or share sensitive personal information.

"Limit Use of Sensitive Personal Information" right. California residents may direct us to limit our use of sensitive personal information to the purposes listed above by contacting privacy@trillionai.agency. Because we already restrict use of sensitive personal information to those purposes, this right is honored by default.

No biometric processing. Trillion AI does not extract, store, or process voiceprints, faceprints, or other biometric identifiers as defined under the Illinois Biometric Information Privacy Act (740 ILCS 14), the Texas CUBI Act, the Washington Biometric Privacy Law, or comparable state biometric statutes. Audio recordings are processed for content analysis and AI Scoring only.

3. Purposes for which we use personal information

We use each category of personal information for one or more of the following purposes:

• Provide the Services — host, process, transmit, and display Customer Data; record, transcribe, and analyze sales conversations through Sales Coach; deliver Auto Email Reports and dashboards (all categories).
• Account administration — create accounts, authenticate, bill, and provide support (identifiers, commercial information).
• Marketing communications — communicate about the Services, send product announcements and educational content (identifiers; you may opt out at any time).
• Service improvement — operate, troubleshoot, and improve the Services using aggregated and de-identified usage telemetry (internet/network activity, geolocation). We do not use Customer Data (including recordings or transcripts) to train AI or machine-learning models without your separate written consent.
• Security and fraud prevention — detect, prevent, and respond to security incidents and fraudulent activity (all categories).
• Legal compliance — comply with applicable law and respond to legal requests (all categories).

4. How we share personal information

We share personal information only with the following categories of recipients, and only for the purposes shown:

• Subprocessors and service providers — cloud-hosting, AI model and API providers, transcription providers, payment processors, email-delivery services, and analytics providers, acting on our behalf under written contracts that limit their use to providing services to us. Specific Subprocessor names are available to active customers on written request to legal@trillionai.agency.
• Your authorized recipients — managers, designated email-distribution-list recipients, and other parties you instruct us to share Customer Data with through the Services.
• Authorities and legal recipients — government authorities, regulators, courts, or other parties when legally required, or as needed to protect rights, safety, and property.
• Successors — in connection with a merger, acquisition, reorganization, financing, sale of assets, or similar transaction, subject to the protections of this policy.

We do not sell personal information. Some of our analytics and advertising tools (for example, Meta Pixel, Google Ads, LinkedIn Insight Tag, where used) may constitute "sharing" of personal information for cross-context behavioral advertising under the California Consumer Privacy Act as amended ("CCPA/CPRA"). You may opt out of "sharing" at any time using the "Do Not Sell or Share My Personal Information" link in the website footer or by emailing privacy@trillionai.agency.

5. Cookies and analytics

We use cookies, pixels, and similar technologies to operate the website and the Services and to understand how they are used. You can control cookies through your browser settings or, where available, the cookie-preferences control on our website. Browser-based opt-out signals such as Global Privacy Control (GPC) are honored as opt-out-of-sale/share requests where required by law.

6. Retention

We retain personal information for the periods set out below, except as longer retention is required or permitted by law:

• Account and billing records — for the duration of the account plus seven (7) years for tax and audit purposes.
• Sales Coach audio recordings — for the duration of the subscription, plus the 30-day post-termination export window described in the Terms of Service. After that window, recordings are deleted subject to backup-retention practices.
• Sales Coach transcripts and AI Scoring outputs — same as audio recordings.
• Marketing-list information — until you unsubscribe, and for a reasonable period thereafter to honor suppression requests.
• Website logs and analytics — typically thirteen (13) months; aggregated/de-identified usage telemetry may be retained longer.

7. Security

We use commercially reasonable administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest for stored audio recordings and transcripts, role-based access controls, logging of administrative access, and employee confidentiality obligations. No system is perfectly secure, and we cannot guarantee absolute security.

8. Your privacy rights

Depending on where you live, you may have rights under applicable law to:

• Right to know / access — the categories and specific pieces of personal information we collect about you and how we use, disclose, and share it
• Right to delete — your personal information, subject to legal exceptions
• Right to correct — inaccurate personal information
• Right to data portability — receive a copy in a portable format
• Right to opt out of sale or sharing — direct us not to "sell" or "share" your personal information
• Right to limit use of sensitive personal information — direct us to limit our use of sensitive PI to specified purposes
• Right to non-discrimination — we will not deny services, charge different prices, or provide a different level of quality because you exercised a privacy right
• Right to use an authorized agent — you may designate an authorized agent to exercise these rights on your behalf, subject to verification

To exercise any of these rights, email privacy@trillionai.agency. We will verify your request as required by law and respond within the timelines required by applicable statute (typically 45 days, extendable). If we deny your request, you may appeal by replying to our response. California residents may also contact the California Attorney General regarding our privacy practices.

If your request relates to information processed through the Services on behalf of one of our business customers, please direct your request to that business; we will support our customer in honoring valid requests.

9. Notice at collection

At the point of collection — including demo-request forms, sign-up forms, and the Sales Coach app — we provide a brief notice describing the categories of personal information we collect at that touchpoint and the purposes for which we use it, with a link back to this policy.

10. Children

The Services are not directed to children under 16, and we do not knowingly collect personal information from children under 16.

11. International users

The Services are operated from and intended for use in the United States. We do not target or knowingly serve users in the European Economic Area, the United Kingdom, or Switzerland. If you use the Services from outside the United States, you understand that your information will be transferred to and processed in the United States.

12. Changes

We may update this Privacy Policy from time to time. We will post the updated version on this page with a new effective date. Material changes will be communicated via email or in-product notice.
